The Administrative Clerk provides support services to the Alliance to Save Energy. He/she reports to the Senior Director of Administration and Human Resources and is one of five individuals who comprise this team. He/she performs a variety of clerical and organizational duties to assist in the seamless operation of the organization.
Responsibilities:
Responsibilities to include, but not be limited to:
- Monitor copier/printer supplies.
- Place service calls for copiers.
- Supervise and maintain kitchen area, i.e., coffee supplies, cabinet supplies, refrigerator, dishwasher, etc.
- Maintain organized workrooms; supplies.
- Assist in meeting preparation and “tear down”– maintain orderly conference rooms.
- Handle all visa application deliveries and returns.
- Assist in reorganizing and placing furniture in cubicles and offices.
- Handle all large copy jobs.
- Serve as relief Receptionist.
- Distribute all faxes.
- Distribute and send out all mail and maintain postage machine.
- Monitor all audio visual equipment.
- Occasionally Assist IT Director with office computer moves or AV setup.
- Research and purge files in archives and prepare for new ones to be stored.
- Maintain catalog of Annual Reports.
- Maintain current Board Member photos for Large Conference Room.
Requirements
- At least 1 year of prior office experience providing administrative support.
- High School Diploma or equivalency.
- Ability to be flexible with range and intensity of assignments.
- Proficient in Microsoft Office.
- Strong attention to detail and the ability to establish and follow routine processes and procedures.
- Demonstrated interpersonal, problem-solving and communication skills.
- Exercises initiative in undertaking routine assignments/projects without direct supervision
